1) Open TimeFox

2) Click Projects.

3) Select the appropriate client from the Client drop-down box.

a) If the Client cannot be found in this drop-down box, click Setup > Clients from the toolbar on the left.
b) Enter the Quantum Client ID into the Client Code box.
- i) Click on Client Order History in Quantum
- ii) Enter the client name (or first few letters) into Bill Client box
- iii) Select the correct client from the A/R Clients window
- iv) The correct Quantum Client ID populates the Bill Client box
c) Enter the Quantum Client Name into the Client Name box.
d) Click Setup > Projects from the toolbar on left and select the client you just entered from the Client drop-down box.

4) Project Code box: Enter the Purchase Order number.

5) Project Name box:

a) For an Exact Repeat, Copy Change, or Spec Change job, enter the Quantum Item ID and description including the Product Group in parenthesis.
- i) This information can be found on the Purchase Order. Open up the item and under the Item tab in the Product Grp box is the code for the Product Group.
b) For a Project, enter the Quantum Description Lines from the Purchase Order. This description will start with OPPORTUNITY, RESEARCH or PROJECT and be followed by a brief description.

Examples:

OPPORTUNITY: Certified Mailing Info

RESEARCH: In-Design Mail Merge

PROJECT: Warehouse Pricing

c) For a Proposal, enter Quote followed by Quantum Item ID and description if applicable, or just the description.

Examples:

Quote: DEOIL-109 Stmnt Envelope (EN)

Quote: Stmnt Envelope (EN)

6) Project Type box: select job type Exact Repeat, Copy Change, New Job, Spec Change or Copy & Spec Change.

7) Scope box: Enter a brief description in the Scope box if this is a New Job (N), Spec Change (SC), Copy Change (CC) or Copy & Spec Change (CSC). Start it with the job type code (N, SC, CC, CSC) followed by a brief description. See screen image in step 5.

8) Check Ignore Due Date.

9) Click Save New

10) Click Select All Tasks and click Save

11) Click Timesheet on the left side toolbar and click Edit on your current time. (Rice Internal/General Office/Planning & Organization)

12) Switch your time to the new job by selecting the correct client and project that you just created. Click Save Edit.

Setting up TimeFox for your job is now complete.
