Validation Aims to make sure that data is sensible, reasonable, complete and within sensible acceptable boundaries. It is used to reduce the number of errors in the data being entered into the system.
Verification Means to check that the data on the original source document is identical to the data that you have entered into the system. It's includes double entry etc...
Range Check Allows you to set suitable boundaries. Commonly used when working with data including numerical data, date/time.
Type Check Ensures that the correct 'type' of data is being entered into that field. When setting up the system, you will have to deflect the most appropriate data type for each field.
Check Digit Used when you want to be sure that a range of numbers has been entered correctly.
Length Check A length check could be set up to ensure that exactly 11 numbers are entered into the field (landline number). A length check can also be set up to allow characters to be entered within a certain range.
Lookup Where you have a field which only allows a limited list of items to be entered then a lookup list can help to reduce errors. (Look at advantages).
Picture/Format check Some types of data will always consist of the same pattern. For example the formatting of a postcode will look like this: DE72 4GS it ensure that a letter isn't entered where a number should be or a number in place of a letter.
Presence check There might be an important piece of data that you want to make sure is always stored. A presence check makes sure that a critical field cannot be left blank, it must be filled in.
Common Errors Transcription errors: Whenever data is manually entered into the system there is a chance that an error will be made. Transposition errors:occur where the person entering the data accidentally changes the order of numbers or letters.
