What can I spreadsheet be used for? Storing text and numerical data, process and manipulate numerical data, produce graphs, set data types including text, numerical, decimal, currency and percent
What are spreadsheets really good for? Calculating invoices, finding out the effect of price changes on sales of goods
What is a database? A database if made up of one or more tables which contain data (records). Businesses use databases to store and process numerical and text data, although databases are not great at performing calculations.
What can you use databases for? Databases can be used to create personalised letters, emails and business cards.
Advantages for Spreadsheets Formulas can be used to calculate and recalculate totals. What-if analysis can be carried out using different values. Data can easily be presented in tables and columns and rows.
Advantages for Databases Lots of records can be stored in tables. Data can easily be added, edited and deleted from the database. Passwords can be used to keep the data secure.
Advantages for both Data can be imported into different software. For example, word processors, DTP and presentation software. Data can be saved and backed-up to prevent loss or damage. Data can be shared electronically.
Disadvantages for Spreadsheets Spreadsheets can take a long time to create. Errors in formulas can be difficult to spot and correct. Text data cannot be manipulated easily.
Disadvantages for Databases Queries can get complicated to create and manage. Validation rules and input masks won't spot inaccurate data.
Disadvantages for both If data is entered manually, errors might not be spotted.
Examples of spreadsheets Calculating invoices, producing graphs.
Examples of databases Holding customer of employee data.

In terms of the software needed to present the information, there are five main tools that you can choose between Spreadsheets, databases, word processors.
Advantages of a word processor Documents can be saved and retrieved later. Spelling and grammar mistakes can be discovered quicker, mail merge can be used to create personalised documents
Disadvantages of word processors There may be a limited choice of symbols, need a device with word processing software to create the document.
Advantages of presentation software Slides can use a range of different components. A template can be used to make all the slides the same.
Disadvantages of presentation software Presentations could become unprofessional if too many features or effects are used, too much text could make it hard to read/understand.
Word Processor Purpose To produce, edit and format documents that mainly contain text
Word Processor Examples of Use Writing letters, reports and mail merge.
Spreadsheet To store and process numerical data in tables
Spreadsheet - examples of use Analyse financial data using formulas.
Database To store data in related tables
Database - examples of use Handling customer contact data
DTP To arrange text and images into publications like flyers
DTP - examples of use Creating documents such as newsletters and leaflets
Presentation Software To create a slideshow to present to an audience
