Question 5

Question
Confirmation period ends for (a season that has only) BEST Courses and Events on Education, and although the organising LBG accepted 24 participants, only 21 accepted. Choose the correct answer about what can happen next.
Answer
  • It's okay, at least almost everyone accepted and there are 21 participants. But the LBG has the responsibility at most two weeks after the course, to provide the attendance list with the participation status of the 3 participants who did not confirm as 'Not Participated'.
  • The LBG has to go through extra-acceptance, so inevitably sends a call for extras to BEST mailing lists, and has one week to accept at least one more participant. if any of those extra-accepted participants does not confirm or cancel after the confirmation deadline has passed, the LBG is required to keep looking for someone else, until they have 22 participants.
  • The LBG has one month to choose at least one participant from the WL to extra-accept. If any of those extra-accepted participants does not confirm or cancel after the confirmation deadline has passed, the LBG can look for someone else but does not have to do so.
  • The LBG has to extra-accept in the next 10 days. They can choose someone from the Waiting List, or send a call to BEST mailing lists and/or external students for extras, in order to accept at least one more participant. If any of those extra-accepted participants does not confirm or cancel after the confirmation deadline has passed, the LBG can look for someone else but does not have to do so.
  • There is no problem, but In case there are budget problems, the LBG can avoid extra-acceptance and stick to the 21 participants, or try to extra-accept in the next 10 days from the Waiting List an applicant from a country of Category 1.

Question 7

Question
Which Vivaldi Handbook violations can automatically result in the event not being stamped?
Answer
  • Not providing free alcohol for the most part of the event.
  • A course had 20 working hours announced, but there were actually only 16 performed.
  • Not accepting 22 students by the ranking deadline and/or not having 22 accepted students 10 days after the confirmation period.
  • Not providing potable water for free for the whole duration of the course. :P
  • The teacher of a course had a conference the day of the final examination, so the Academic Responsible and the Main Organiser took over and organised a case study to save the day and mark them based on the case study.
  • The LBG provided a suite with one queen size bed, and a private bathroom with two showers and hot water always available, for every two participants.
  • Not delivering the original physical hand-signed versions of the certificate and/or Course Information Form before the end of the event.
  • Providing a syllabus to the participants, only 10 days before the course.

Question 8

Question
There is a case of two repeatedly misbehaving participants, who do not respect neither the organisers and the participants' responsibilities, nor the rest of the participants. What is going to happen to them?
Answer
  • Since they have paid their fee, we cannot force them to do anything, BEST is a very respectful organisation. Maybe have a talk with them and explain that they are not experiencing the whole BEST experience this way, and they will hopefully understand. :)
  • The Main Organiser should consult with the local Board and the Mentor, and decide whether one of them, or both, will be expelled.
  • Vivaldi Department should be contacted as soon as the situation arises, then the Department can decide whether or not the participants will be expelled.
  • The Main Organiser can flip a coin. Each side represents a participant; heads stays tails gets expelles.

Question 9

[blank_start]False[blank_end] The only events that are always optimised are Events on Education. [blank_start]False[blank_end] If there is a paid activity, it should be announced to the participants, and an alternative should also be provided for free at the same time. [blank_start]True[blank_end] For BEST Courses on Career-Related Skills, it is okay to accept non-technology students, since the content is more appropriate for them. Question 10

Question
What should you do with this girl?
Answer
  • Go to a cantus with her
  • Call her if you feel like you have messed up with the LBG you mentor
  • Contact her in case the LBG you are mentoring needs to change some information on the announcement page, after the announcement deadline
  • Consult her when you feel overwhelmed with your work as a Mentor, feel like giving up and needing guidance

Question 11

Question
3 days before the end of the event, the teacher cancels a 5-hour session. The course is only 7 days, so the LBG had 20 working hours scheduled. They have already created and printed the CIFs with the names. What do you do?
Answer
  • Even with the 5-hour session missing, there are still 15 hours, so tell them it's okay, and the CIFs can still be given to the participants.
  • Suggest that the organisers organise an alternative session themselves, so that the hours be met.
  • Prompt them to inform the Season Coordinator immediately, and actively seek for a replacement. Also, the CIFs have to be modified, because of the change in the hours and the teacher, even in case of a replacement. If that becomes the reason for a delay in CIFs delivery, the situation can be discussed with the Season Coordinator.
  • The LBG can make a call for BEST trainers to fill in the hours, since it is very possible that with your help, you can find one fast. Also, edit their CIFs properly, so that they have the correct versions by the end of the event, otherwise the event will not get stamped, since CIF delivery before course is something undebatable.

Question 12

Question
Create a combination of Vivaldi Handbook violations, that will lead to a course not being stamped.
Answer
  • Delivering the original physical hand signed versions of the certificate and Course Information Form after the end of the event because of an exceptional situation accepted by the Vivaldi Department
  • Not providing the Survival Guide and web page of the event by the announcement deadline
  • Number of working hours of the event with a discrepancy between 1-10% to what was announced
  • Syllabus of the course not provided to the participants by the one week deadline
  • Inserting incorrect information during the activity announcement
  • Filling in the activity announcement information after the announcement deadline due to an exceptional situation communicated to the Vivaldi Department
  • Cancellation of announced scheduled activities before the event without announcing it to the participants
  • Not having a presentation about BEST
  • Some of the working hours are covered by a company representative.
